Program Assistant

EcoHealth Alliance is seeking a program assistant to ensure the smooth planning, development, and execution of a new disease surveillance program in Western Asia. The program assistant will report to and provide all necessary administrative support to the Associate Vice President for Research. This position is ideal anyone with an interest in emerging infectious disease and who wants to work in an exciting NGO that runs international research and conservation programs.

 

MINIMUM QUALIFICATIONS
+ Bachelor of Science or equivalent degree in Life Sciences; Master’s degree is a plus.
+ Experience with managing projects supported by US federal government and/or relevant program administration duties at non-profit, research, or academic institutions.
+ Ability to work independently and efficiently on time-sensitive tasks.
+ Strong organizational skills.
+ Excellent communication and writing skills.
+ Experience with financial accountability and fiscal management.
+ Strong interpersonal skills -- must be able to work effectively and communicate with a diverse team of international collaborators.
+ Fluency in spoken and written English.
+ Proficiency in additional languages including Arabic, Turkish, Georgian, Urdu, or other languages from the region is a plus.
+ Experience or training in epidemiology, field research, or analytical research on zoonotic diseases a plus.

 

POSITION DETAILS
Program Assistant will work closely with the Associate Vice President for Research to plan and implement an international disease surveillance project in Western Asia, funded by the US Department of Defense. Duties include all administrative and program management responsibilities to support the project, including: managing and processing contracts, subawards, and invoices; preparation of reports and drafting content for project material and website; set-up and attending conference calls; drafting agendas and taking notes during meetings; helping organize an annual workshop/meeting; and coordinating international and domestic travel. Country-specific activities for the project will be based initially in Georgia, Jordan, Turkey, and Pakistan, and may be expanded to other countries in the region. The Program Assistant will be primarily based at EcoHealth Alliance headquarters in New York, although some international and domestic travel may be required for project meetings and workshops. The position will involve close collaboration with other EcoHealth Alliance staff, administrators, finance managers, and scientists, as well as with a large team of international researchers from Western Asia.

 

PRIMARY RESPONSIBILITIES
+ Assist the Associate Vice President for Research in the development and management of an international research network aimed at understanding the risk of bat-borne zoonotic diseases.
+ Work closely with the AVP for Research and other project scientists to support program development and operations, especially in the set-up of domestic and international meetings, booking of travel (including ensuring visa compliance and travel approval for a diverse team of international collaborators), fiscal management, and monitoring of communications, contracts and MOUs, receipts, and other project related tasks.
+ Procurement of required equipment and materials to support field studies.
+ Draft required project reports for US Government.
+ Draft text for project materials relevant to scientists and policy makers, including content for dedicated project website.
+ Help design and maintain project website (web development skills a plus, but not required).
+ Help organize and attend an annual workshop for the project to be held in Western Asia.
+ File and review coded credit card reports, time sheets, and other reports.
+ Provide support to program staff with writing and editing of subcontracts and follow-up with subcontractors for invoicing, payments, receipts, and accounting reports.
+ Work with the AVP for Research, finance department, and grants and contracts team to coordinate, review, and approve all project related expenses and reporting.
+ Proactively track deadlines and administrative targets with program coordinators, finance, and collaborators in accordance with EcoHealth Alliance policies.
+ Responsible for minute taking and drafting agendas for project related meetings.
+ Liaise and collaborate with EcoHealth Alliance research teams; administrative, development, and program staff; partners; and associates – and maintain communication as necessary to ensure smooth functioning of programs.

 

OTHER DUTIES
+ Participate in other projects and tasks as required or assigned by the Associate Vice President for Research.
+ Timely reporting of EcoHealth Alliance timesheets and credit card reports
+ May be required to attend international or domestic conferences, business meetings, and other appropriate events.
+ Assist with grant application processes including reviewing guidelines, organizing necessary materials, preparing biographical sketches and budget forms.
