Program Assistant

EcoHealth Alliance seeks a dynamic and energetic individual to join our team as a Program Assistant. The Program Assistant position helps to ensure the smooth planning and execution of EcoHealth Alliance’s research agenda on health and policy. This role will be primarily administrative, but will involve some research and implementation support activities for One Health projects in Jordan, Liberia, and additional countries in Africa. While this position requires presence in EcoHealth Alliance’s New York office, due to the COVID-19 Pandemic, this position will initially be remote. Required in-office tasks would be evaluated based upon business need and staff safety.

PRIMARY RESPONSIBILITIES:

The Program Assistant will provide all necessary support to our Executive Vice President, Program Coordinator, and Research Scientists in the Health and Policy team, as well as to our field staff.

  • Assist with the coordination and management of travel, finance/budgets, meetings, programs, reporting, and all other administrative responsibilities as required.
  • Work closely with the Health and Policy team to support related programs especially in the set-up of meetings, booking of travel, organizing of paperwork and filing, and monitoring of communications, contracts, and other project related details.
  • File coded credit card reports, time sheets, and other reports.
  • Provide support to program staff and project partners with writing and editing of subcontracts and follow-up with invoicing, payments, receipts, and accounting reports.
  • Work with the Executive Vice President of Health and Policy to coordinate, review, and approve all project related expenses and reporting.
  • Assist with project reporting to funders and tracking of project milestones and timelines.
  • Liaise with and provide support to other EcoHealth Alliance Teams including Development, Programs, and Finance as needed.
  • Ensure time sheets and expense reports are on time and reminders are sent to other relevant program staff about updates and contacting funding agencies.
  • Promote, provide, and support regular, clear communication between the Health and Policy team and other EcoHealth Alliance departments.
  • Assist with grant application processes including reviewing guidelines, organizing necessary materials, preparing biographical sketches, and budget forms.
  • Conduct minute-taking and draft agendas for meetings.
  • Assist with database management, data collection, data cleaning, and basic data analyses.
  • Assist with literature reviews and data extraction from secondary sources (e.g. scientific and grey literature and public data sources e.g. UN, World Bank).
  • Assist with drafting of written materials (e.g. website postings, policy briefs) and manuscript preparation/submission.
  • Assist in directing the work of students, interns, or temporary workers as necessary.
  • Participate in other projects and tasks as required or assigned by the Executive Vice President of Health and Policy and the President of EcoHealth Alliance to support the organization’s mission.

QUALIFICATIONS:

  • Bachelor’s Degree
  • 1+ year of administrative work or research experience
  • A friendly and professional demeanor and high level of cultural sensitivity
  • Strong sense of organization and attention to detail
  • MS Office intermediate level skills
  • Able to multitask and triage competing priorities
  • Experience with statistical analysis (skills in Excel, STATA, or R) would be an asset
  • Experience with or interest in learning EndNote reference management software
  • Fluency in English; working knowledge of French a plus
