Staff Accountant

POSITION SUMMARY

The Staff Accountant will work under the supervision of the Accounting Manager to maintain financial records and general ledgers, and also perform general bookkeeping. The Staff Accountant’s other duties will include assisting the Accounting Manager, CFO and other staff in the development and management of accounting and financial requirements of diverse funders. 

PRIMARY RESPONSIBILITIES

  • Accounts Payable Management: Process vendor invoices, expense reports, ensure accurate coding and approvals, and review supporting documentation for payment requests and credit cards. Record and reconcile financial transactions, including accounts payable, bank transactions, and general ledger entries. Work with the office manager/admin assistant to analyze vendors’ invoices and services. Upload credit card expense reports into accounting software.
  • Accounts Receivable Management: Process incoming payments accurately and maintain detailed records of transactions. Work with Development and Finance team to reconcile pledges, grants, and contract receivables. Book deferred income and refundable advances as appropriate. Maintain accurate receivable schedules and reports.
  • Financial Record Keeping and Reporting: Maintain organized and up-to-date financial records, including general revenue, expenses, vendor invoices, utility bills, and maintenance costs. Assist in month-end and year-end closing processes, including journal entries, accruals, and reconciliations. Prepare payroll reports based on HR-presented payroll changes and migrate payroll data into accounting software. Prepare journals for monthly and year-end closing.
  • Accounting Operations and System Management: Assist Accounting Manager to maintain schedules for investments, depreciation, leases, and rents. Merge data from multiple systems into accounting software. Work with CFO on systems assessments, systems integration, and seamless data migration.  
  • Audit and Compliance: Conduct regular audits to ensure accuracy and compliance with accounting standards and company policies. Assist with external audits and compliance checks by funders. Assist in regulatory compliance and reporting, including 1099 tax filings and 990 reporting.

SKILLS & QUALIFICATIONS

  • Bachelor’s degree in Business administration, Accounting or Finance or at least three years of relevant experience in accounting or a related field. 
  • Knowledge of accounting principles and practices, nonprofit FASBs, GAAP and GASP. 
  • Previous experience with managing federal grants and contracts and a solid understanding of Uniform guidelines and federal requirements.
  • Proficiency in accounting software (e.g., Abila MIP, Nexonia, QuickBooks, etc).
  • Excellent analytical and problem-solving skills.
  • Attention to detail and strong organizational abilities.
  • Effective communication and interpersonal skills.
  • Maintain confidentiality and adhere to ethical financial practices.

Salary Range – $60,000 – $65,000 per year (Grade Level 7)
